CONTEXT

IELTS Canada has 350 Certification Centers distributed across the country. Each center offers up to 12 different types of exams to certify professionals in the English language. These courses are created and scheduled at the discretion of the managers of each of the 350 centers. It is essential that the availability of all 350 centers and the up to 12 certification exams offered by each be accessible for Consultation and Booking in real time on the IELTS Canada website.

THE CHALLENGE

At any time a manager from any of the 350 centers modifies a schedule, creates or deletes a time slot for a certification, or removes an entire certification offering, the consultation and booking portal must update and display the available offerings at that exact moment. It must also allow for bookings to be made, while simultaneously managing the limit of individuals who can be certified in each time slot for each exam.

THE SOLUTION

1. Interactive Booking Module
We created a Scheduling module with advanced filters using WordPress, through which users can, in a clear and user‑friendly way, search for their exam of interest at the nearest center and view the details of its various time slots. (Thanks to the API integration between Google Maps and the Scheduling module’s filters, the map also shows the locations of the nearest centers that have availability for the examof interest).
2. API Integration with the central data system
Also via API, we connected this module with the organization's central data system, where the detailed information for each certification at each of the 350 centers is uploaded and updated. This allows the availability of slots for each exam at each center to be consulted in real time, so that it can be displayed in the module, bookings can be made, and reservations can be updated back into the central information system.
3. API Integration with CRM and Implementation of Semi-Automated Process Flows.
An API integration with the Bitrix24 CRM was implemented in order to:

1. Effectively manage bookings by automatically triggering transactional communications and notifications via email and WhatsApp.

2. Generate valuable analytics based on visitor booking behavior on the site. This integration will enable tracking of reservation conversion rates for traffic directed to the module from each source.
